A catalog cleanup succeeds when customers receive clearer choices and staff gain a repeatable source of truth. It fails when a batch tool makes inconsistent text look consistent, an option system duplicates native variations, or generated content is applied faster than anyone can verify it. Treat the work as a data migration with acceptance criteria, not a cosmetic editing session.

This guide uses the catalog and product-options tools in a sequence: inventory the current data, choose destinations, test configuration behavior, improve specifications, review estimates and generated drafts, package approved material, and add truthful merchandising only after the product record is dependable.

Build a catalog data dictionary

Select a representative set containing simple and variable products, missing data, legacy formatting, unusual characters, multiple galleries, and the most complex customer configuration. For each field, record its meaning, format, unit, allowed values, owner, source, destination, and whether a blank source should clear an existing value.

Choose the right configuration model

Use native variations when each combination needs its own stock, SKU, image, price, or variation identity. Use a product-options workflow when selections should follow the cart and order without becoming a separately stocked variation.

Model each allowed path deliberately. Test required and optional values, incompatible branches, price changes, crafted requests, cart restoration, quantities, order display, administrator edits, refunds, and exports.

Product Options Packages focuses on named packages and add-ons with pricing rules that persist through cart, checkout, and order records. Use it when shoppers select from understandable packages rather than navigating a deep tree. Keep package names and inclusions stable enough that staff and customers can interpret historical orders.

Legacy Options Selector retains category, item, and sub-item trees, pricing, images, validation, order editing, and compatibility with established configurations. Before migrating away, compare stored identifiers, historical order rendering, calculations, required selections, and administrative editing. New catalogs should choose it only when the legacy model is a real requirement.

Convert specifications in bounded stages

Specs to Attributes Sync parses structured specification text and creates or synchronizes WooCommerce attributes from an administrator runner. Start with a dry or previewable sample where labels, separators, units, and terms are known. Check duplicated terms, capitalization, punctuation, empty values, and existing manual assignments before a batch.

Do not combine structural cleanup and creative rewriting in one opaque batch. First normalize the source data; then generate from the approved structure. Preserve originals and log enough context to reproduce or reverse the operation. Review a storefront sample and machine-relevant fields after apply.

Extract Pictures & Specs Exporter creates a ZIP containing short_description.txt with the product’s WooCommerce short description converted to plain text, plus the original attachment files referenced by the product gallery. It does not export a separate structured specifications record, and a featured image is absent unless it is also assigned to the gallery. Before sharing, inspect the archive name, plain-text description, expected gallery files, file types, and model identification. The exporter cannot verify image rights, resolution, color accuracy, revision status, or manufacturing suitability.

Use a review checkpoint between catalog and recipient. If the package becomes an input to a quote or production record, retain the product and export version used so later catalog edits do not silently rewrite history.

Add promotion after the underlying product is accurate

Use a real deadline, a clear destination, and defined post-expiration behavior. Test small screens, keyboard navigation, dismissal, caching, and checkout notices. Avoid an endlessly resetting countdown.

Run the migration

  1. Freeze uncoordinated catalog edits for the bounded product set.
  2. Capture database and file backups plus a machine-readable inventory.
  3. Test one representative product per data pattern and one known nonmatch.
  4. Verify editor, archive, filters, product page, cart, checkout, order, emails, exports, APIs, and rollback where relevant.
  5. Apply a small batch, compare fingerprints or exact fields, and obtain reviewer sign-off.
  6. Expand only after the repeat run is idempotent or its intentional changes are understood.
  7. Document the new source of truth and retire duplicate manual processes.

Create a catalog change report

For every batch, retain the selected product IDs, tool and configuration version, operator, start and completion time, fields considered, records changed, warnings, and review result. The report should identify whether it changed terms, relationships, content, prices, images, options, or generated metadata. Do not place credentials or private customer information in it.

Ask a second reviewer to sample the most complex products and at least one apparent nonmatch. If the operation is intended to be repeatable, run the same selection again and explain every further change. An unexpected second-pass rewrite is evidence that the transformation or its inputs are not stable enough for a larger batch.

When to leave the catalog alone

Do not automate inconsistent data until the business agrees on its meaning. Do not install two option engines for the same product, transform free-form prose by a loose pattern, or generate claims that cannot be checked. Native attributes, variations, categories, and careful editing may be the most maintainable answer for a smaller catalog.
